The conversation is designed to give you as much clarity as we gain from it. There is no obligation to go further once it is done. Below is everything you need to know before we speak.

Your booking confirmation is on its way. An email from us should be in your inbox shortly — check your spam folder if you don't see it within a few minutes. That email has your calendar link, the video or call details, and everything you need to reschedule if something comes up.
The structure

Two short conversations. Both designed around your time.

The Workplace Performance Review takes place across two sessions — each around 30 minutes. Together they give a complete picture of what is happening in your business and what, if anything, is worth doing about it.

Conversation one
Discovery
Approximately 30 minutes — the session you have just booked

A structured diagnostic. We are not pitching — we are listening. The goal is to understand your organisation clearly before drawing any conclusions.

Where your business is now — your workforce, your current benefits and pension arrangements, and how they are structured
Where financial pressure may be showing up — in absence, turnover, or the management time your team is spending on people issues
What you already have in place, and whether it appears to be working as well as it should

This is an exploratory conversation, not a sales meeting. There is no agenda beyond understanding your situation clearly. Whether or not further work makes sense, you will leave with a clearer picture than you arrived with.

Conversation two
Findings and next steps
Approximately 30 minutes — typically within 10 days of the first conversation

The second session brings the picture back to you. We will have reviewed what you shared and identified where the most significant opportunities or concerns sit.

What the Review suggests about the cost of financial pressure in your specific business
Where the most significant opportunities for improvement are — in your pension, benefits, or people support arrangements
What a proportionate response would look like — and what it would cost
A written summary you can use with your leadership team, partners, or board

If further work makes sense for your organisation, we will say so and show you the numbers. If it does not, we will say that too. The conversation has no predetermined outcome.

Before we speak

You do not need to prepare. But these help.

The conversation flows more easily if you have a rough sense of the following. None of it needs to be precise — the point of the Review is to establish the picture, not for you to have already built it.

Your current headcount and a rough average salary range across your workforce

The pension provider you use, and roughly what employer contributions you currently pay into it

Any other benefits currently in place — healthcare, life cover, income protection, cycle to work, anything — even if you are not sure they are used

Whether you have seen any notable staff turnover in the past twelve months — even a rough sense of numbers

These are starting points, not homework. If you do not have them to hand, that is fine — part of what the Review surfaces is what you currently know and do not know about your own arrangements.

The practicalities

A few things worth knowing.

Format
Video or phone — whichever works better for you. The link or number is in your booking confirmation email.
Duration
Each conversation is around 30 minutes. We rarely need longer, and will not take more of your time than the session requires.
Rescheduling
If something comes up, reschedule directly from your booking confirmation email. No explanation needed — these conversations happen when they are genuinely convenient.
Who you'll speak with
Matthew Steiner — co-founder of Aetas in the Workplace, with over 20 years in financial services advisory. Not a sales representative. Not a discovery call that gets handed off.
Second session
Matthew will be in touch to arrange conversation two after the first session — typically within 10 days, at a time that suits you.

Two short things to complete before we speak again.

Following your first session, Matthew will be in touch to arrange conversation two. Before that second session, there are two short forms to complete — they take around ten minutes in total and mean the findings conversation can go straight to substance.

Data Processing Agreement
A standard UK GDPR agreement covering how Aetas Partners Limited handles the data you share as part of the review. Required before any employee-level information is exchanged.
Takes around two minutes to read and sign electronically. You will receive a countersigned copy by email.

Employee Benefits Data Capture
A structured form covering your current pension, group risk and health benefits, and existing adviser arrangements — the information Matthew needs to analyse your arrangements ahead of conversation two.
Takes around five to ten minutes. Supporting documents (pension schedules, member data) can be uploaded here or emailed separately.
